This constitution will determine the guidelines for the Chemistry Club/ ACS Student Affiliate. The following rules shall be the basis for all practices and judgments carried out by the executive board and the means by which that board shall be elected.
The name of this organization shall be the Chemistry Club / ACS Student Affiliate, hereinafter referred to as "The Chemistry Club".
The purpose of this organization shall to promote scholarship and awareness in Chemistry and all applied Chemical Sciences. The Chemistry Club will coordinate activities to that end. These activities will include but not be limited to fund raising activities for club activities, community service activities, and student tutoring.
Section 1. Eligibility: All full time students are eligible to join the Chemistry Club
Section 2. Membership: To be an active voting member of the Chemistry Club, the student must attend at least two meetings per semester and pay his or hers dues.
Section 3. Dues: Dues will be paid yearly. The dues shall be no more than five dollars per year.
Section 1. Elected Officers:
A. The title of the elected officials shall be President, Vice-president,
Secretary, and Treasurer.
B. Only active members shall be eligible for office within the
organization.
C. To be eligible to seek of hold office a student must be enrolled
full time and has an overall GPA of 2.75 or better at Xavier University
of Louisiana
D. Elections shall be held at the first meeting of the spring
semester and will be carried out by anonymous ballot.
E. Nomination of officers shall be carried out at the last meeting
of the fall semester. Nominations will also be carried out by
anonymous ballot.
F. If any vacancies should occur during the semester new students
shall be nominated and a new officer elected at the first meeting
following the vacancy with the exception of the presidency.
Section 2. Duties of Office:
The duties of the executive board shall be to plan the chemistry
club meetings, organize club activities, and to assure that those
activities fall within the guidelines set forth by Xavier University
of Louisiana and the American Chemical Society.
President- The President shall confer with the executive board in making decision for The Chemistry Club. The president must attend at least three executive board meetings per semester and be an active member. The president must also confer with the executive board and advisors in the planning of meetings and activities. The president has the authority to make final decisions concerning the activities of the Chemistry Club. The decisions of the president can overturned by an unanimous vote of the remaining members of the executive board. Should a decision become unresolved within the executive board it will be the chemistry club advisors who will mediate discussion leading to the resolution of the dispute.
Vice President -- The Vice President shall assist the president in the planning of the meetings and activities of the Chemistry Club. The vice president shall share in the responsibilities of organizing and executing the plans for the meetings and activities of the Chemistry Club. The vice president must attend at least two of the executive board meetings and be an active member of the Club.
Secretary - The Secretary shall record the minutes of both executive board and general body meetings of the Chemistry Club. The secretary shall give a copy of these minutes to each member of the executive board within a week of each meeting.
Treasurer - The Treasurer shall keep records of all financial business pertaining to the Chemistry Club. The treasurer shall give a copy of the records to the members of the executive board within a week of any monetary transactions.
Section 3. Terms of Office:
One term of office shall be defined as the spring and following
fall semester the academic year. There will be no limit to the
number of terms an officer can serve.
Section 4. Impeachment:
If after consultation with the Chemistry Club advisors an officer has been deemed to be unable to perform the duties of their office, they may be impeached by an unanimous vote of the executive board.
Section 1. Standing Committees:
Standing committees will be composed of volunteers from the membership
of the Chemistry Club and at least one executive board member.
Section 2. Duties of Standing Committees:
The duties of standing committees are: To aid in the development
organization and execution of Chemistry Club activities and to
confer with the executive board to ensure that those activities
fall within the guidelines of Xavier University and American Chemical
Society policy
Section 1. Regular Meetings:
All regular meetings of the Chemistry Club will be held at five
o'clock p.m. on the Wednesday following regular Chemistry Department
meetings.
Section 2. Special Meetings:
Special meetings will be announced at least two days before the
scheduled day.
Section 3. Parliamentary Procedure:
All regular and special meetings of the Chemistry Club shall be
run under the rules of parliamentary procedure with Robertís
Rules of Order, Revised as a reference.
Section 4. Quorum:
A Quorum will consist of at fewest one more than half the total
active members of the Chemistry Club.
Each member is required to pay their dues by the end of the fall semester to remain an active voting mender of the Chemistry Club. These dues and previously stated will be no more than five dollars per year.
Section 1. Amendment Procedure:
Amendments must be submitted in writing. Amendments will be read
two meetings in advance before being brought to a vote.
Section 2. Ratification:
Ratification will be accomplished by a two-thirds majority vote
of the total active membership of the Chemistry Club. The amendment
will then be submitted to the office of student activities for
approval before becoming official.
